Privacy Statement

Cineville is a collaboration between independent film theaters in Belgium, which have united in SC Belgian Arthouse Cinema Pass (hereinafter: Cineville).

In order to provide you with the best possible service on our website, we collect a number of user data via www.cinevillepass.be. We also process (personal) data when you have a Cineville Pass. In this privacy statement we explain which data we collect and process and what your rights are in this area.

What information is collected by Cineville?

Cineville Pass
If you have a Cineville Pass, you can go to the movies in all affiliated movie theaters for a fixed amount per month. Because your Cineville Pass is personal, we need a number of personal data: your postal address (so that we know where we can send your Pass and any payment reminders or other important mail), your name, date of birth and photo (which are on your Cineville Pass and are also digitally shown to the cashier - with this the movie theaters can check whether your Pass is only used by you) and your payment details (so that you can automatically pay the subscription fee every month).
If you go to the movies with your Cineville Pass, your pass will be scanned at the entrance of the movie theater. The details of your visit (the visited film, the specific performance and the film theatre) are then sent to our secure database. This data is used by Cineville to reimburse movie theaters and film distributors for your visit, to offer you a nice overview of all the movies you have visited and to give you personalized movie tips.
Your data is anonymised and aggregated in order to do statistical analysis. Only Cineville, film distributors and the movie theaters affiliated with Cineville have insight into these analyses. In this way we help film theaters and film distributors to provide insight into their visitors and to better respond to the wishes of the public.
Messages about your movie visit
We can send you a message about your film visit, for example after your visit.
Website
When you visit a website, your computer automatically sends a number of data to the server. For example, your IP address, the browser with which you visit the website, the operating system of your computer and the page you visit. That also happens on our website.
Newsletters
If you have registered for this, we will use the e-mail address and first name you have provided to send newsletters and offers. If you no longer wish to receive a newsletter, you can unsubscribe at the bottom of each email.
Contact
If you contact our customer service because you have a question, comment or complaint, we will save your contact details and your message. The information collected in this way is used for the proper handling of your question or complaint and for general statistics.
Google Analytics
We use Google Analytics to collect web statistics about the use and visits of www.cinevillepass.be. Google Analytics places a permanent cookie on your computer/device so that your use of our website is registered. This data is then analyzed by Google Analytics and the results are provided to us. In this way we gain insight into how our website is used and we can improve the user experience based on that data.
We do not share personal data with Google and Google cannot use the visit information for other Google services.

You can set your browser so that you do not receive cookies during your next visit to our website. In that case, however, it may happen that you cannot use all the options of our website or that you do not have access to (parts of) the website.

How do we protect your personal information?

Cineville takes various appropriate technical and organizational measures to protect your (personal) data against loss or against any form of unlawful processing.
Retention period
We keep your data for as long as necessary and as short as possible. Exactly how long we keep data for depends on the nature of the data and what it is processed for.
During the duration of your Cineville Pass subscription, your personal data will in any case be stored for as long as your subscription is active. We store invoices for up to seven years after the invoice date, as this is required by the tax authorities.
After the end of your subscription, your personal data will be deleted or anonymized after 6 months. Anonymization means that your personal data is stripped of all identifying characteristics. What remains are statistical data that can no longer be linked to you as a person in any way.
This statistical data is important to us because it allows us to gain insight into the use of our services and the Cineville Pass. We also need this information to be able to pay the movie theaters and distributors for the movie visit.
If you want to have your personal data removed or anonymized faster than 6 months after the end of your subscription, that is of course possible. Send an email to service@cinevillepass.be for this.

View, change, correct or delete your data

If you want to know which data we have recorded about you or if you want to change data, you have the right to do so. To do so, please contact us at service@cinevillepass.be. Then we will respond to your request within four weeks (but usually faster).
If you want to have information corrected, supplemented, deleted or blocked on the basis of the overview, you can send a new request to the above address. Cineville will also respond to this request within four weeks. If Cineville decides not to comply with your request, we will explain why we won't or can't.

Delete data

You can easily cancel your Cineville through our customer support. If you want to have all your data removed, you can do so by sending an e-mail to service@cinevillepass.be. Then we will delete all your personal information, to the extent permitted by law.

Identity Verification
To ensure that the information you request or change really belongs to you, we may ask you to enclose a copy of a valid proof of identity. We then request that you make the national register number shown on your proof of identity illegible and your passport photo unrecognizable. We will delete this copy of identification after processing your request.
Complaints
If you do not agree with the use of your personal data by Cineville, you can let us know and we will try to find a solution together. But of course you also have the right to file a complaint with the Data Protection Authority

Transfer to countries outside the EU

All the servers that we use are located in Europe. For technical or operational reasons, it may still be necessary for your data to be transferred (to servers of) Cineville affiliates in the United States. We try as much as possible to cooperate with European parties and otherwise in any case with parties that comply with the so-called EU-US Privacy Shield Framework, which consider security and privacy to be of paramount importance.
